Having built a successful Asian business over the past six years, we set up in London nine months ago and using this as our European regional hub, we are actively expanding our service offering internationally. What we’re looking forWe are actively hiring for an Office Manager to join our lively, enthusiastic, ambitious and fast-moving London team. We are currently in ‘start-up’ mode which brings an element of excitement, fast pace, hard work and lots of fun! You will report to the Managing Director and be responsible for providing full administrative and business support to the London team. The ideal candidate will be comfortable in a fast-paced, multi-tasked & high energy environment and focused and willing to work to ensure that our teams are functioning efficiently. Excellent written and verbal communication skills, strong critical thinking and attention to detail are equally meaningful in this role.What you’ll do· Provide executive support to the two Partners· Support the team in administrative requirements and provision of full office management support· Work cross functionally to organize meetings and schedules, for both internal and external meetings· Run weekly activity reports and create monthly/quarterly/annual presentation packs· Manage and execute the activities for the team, including but not limited to on-boarding program, wellness programs, team-building programs, charity events and any other employee programs as needed· Play an active role in company event facilitation including booking venues, restaurants, catering, etc. and maintaining relationships with vendors· Arrange meeting rooms, providing refreshments, drafting agendas and other materials· Arrange courier services, incoming mail and other correspondence· Organise business travel for members of London and international staff· Be the go-to for any IT issues and escalating issues to our provider· Ad hoc management and admin support duties for team members and overall office· Lead travel coordination for Partners · General admin including, printing, scanning, filing· Managing office stationery and supplies within the kitchen· Upload monthly expenses to Xero· Project support as needed What you’ll need· You should be resilient, hardworking and work well as part of a high performing team· Exceptional interpersonal, verbal and written communication skills coupled with a positive attitude and ability to partner effectively at all levels of the organization· Excellent organizational skills with high attention to detail· Proactive and service-oriented individual who can multi-task a variety of administrative tasks· Proficiency with Microsoft Outlook, Excel, and PowerPoint· Ability to hold their own, not get overwhelmed with workload.· Excellent communication skills, both verbal and written· Forward thinking, very organised, collaborative and able to use initiative.· Need to be able to understand sensitive information with discretion and trust· Able to work effectively and efficiently remotely· Will be the “go to” person within the office – must be self-motivated, resilient, caring, kind and friendly· Used to working in a faster than average paced environment · Able to manage multiple projects simultaneously· Very socially focused; requires “how can I help you?” attitude · Open, flowing communication style is important · Take pride in delivering high quality work
