Job Title: Project Administrator
The Façade team is a large growth area for CBRE, and we plan to double the team in size by 2024. This role will take primary responsibility for supporting the fee earners within the Façade team with efficient administration support.
o Ensuring overhead glazing inspections are arranged in a timely manner with Clients,
o Assists the OHG manager with maintaining the OHG tracker
o Reports are correctly processed & issued in a timely manner
o Maintaining our Retained Services as ‘a great value service’, as standard, across our operations.
o Improving our completion and use of Case Studies & Track Records.
o Sending updated PI documentation to clients as new cover is being signed
o Co-ordinating and diarising regular project meetings, taking minutes.
o Administering an online data rooms during a project, including uploading/downloading documents, logging correspondence/communications.
o Loop in at pre-instruction phase to ensure client has required info form us (proposals, PI certs, CVs, Case studies etc)
o Loop in at instruction phase to ensure we have all required info (POs, data room access etc)
o Word processing reports, formatting to consistent format and collating ready for issue to clients.
o Saving and updating reporting and proposal templates for use by the fee earners.
o Collating track records and marketing strategy/material.
o Assisting with ISO compliance requirements.
o Setting up online folders, conflict checking saving proposals/appointments in correct location, job closing.
o Arranging CPDs and training at the request of Team Leader or Head of Façades, sending invites, collating CPD & training certificates
o Assisting FEs in updating CPD, training and equipment tracker
o Managing equipment log, sign in/out of equipment
o Manage ongoing Client IQ rebuild (if it happens)
o PO request/chase (tie in with finance)
o Management of invoicing
o Maintain Façade Schedule
o Maintain Client IQ for Team (superuser)
